Conference/Event Producer
Main purpose of the job: To be responsible for all aspects of delivering a successful live event or conference.
Relationships: The producer will report directly to the Managing Director and Creative Director.
Main Duties:
- Discuss with a client their exact requirements, aims and objectives.
- Submit fully costed, creative conference/event proposals. This involves researching, devising solutions, writing a pitch document and client presentation.
- Co-ordinate all input from staging, audio-visual, lighting, sound and visual media.
- Write and/ or approve contact reports from all client meetings.
- To arrange and attend on site and off site production meetings.
- Liaise with suppliers to agree the best technical/creative approach.
- Advise on a venue's suitability for a proposed event.
- Advise clients on the most suitable set design, lighting and AV technical specification. Decide on the size and skills of the AV technical team.
- Work closely with in-house staff and suppliers to prepare detailed quotations and ensure appropriate profit margins are achieved.
- Work with and enhance the existing company processes.
- Brief crews on company working practices.
- Ensure that all members of the team know their responsibilities and the project schedule.
- Identify bottlenecks in production and find alternative ways of ensuring that deadlines are met.
- On-site, be the main client point of contact and lead the team.
- On-site, manage the software preview and rehearsal process to ensure that all speakers are confident.
- Strive to provide the highest quality service, handle all client enquiries and obtain completed customer feedback forms.
- Create the final client invoice.
- Participate in developing new business and maintaining relationships.

- Good technical knowledge of conference/event staging.

- Be IT literate and proficient in PowerPoint.
- Someone passionate about quality and ensuring that we exceed our clients’ expectations.
- A person who is very articulate, bright and of a smart appearance.
- Someone who makes the clients feel confident and who does not appear flustered. (Good at multi-tasking).
- Someone with sufficient gravitas to deal comfortably with main board directors.
